Identity Verification & Processing Consent

This document is a placeholder pending final legal review. It is provided to describe PlayerVault's intended policies and may be updated before it becomes legally binding.
This Notice explains how PlayerVault collects and processes identity information when you apply to become a Seller. We ask for this information to keep the marketplace safe, to confirm you are eligible to receive payouts, and to comply with legal obligations. By submitting verification materials and accepting the related agreement, you consent to the processing described here.
1. What We Collect
- Images of a government-issued identity document (for example a passport, driver's license, national ID, or residence permit), including the document number, name, date of birth, and expiry shown on it.
- If a fraud or risk review later requires it, additional verification materials that PlayerVault may request at that time (for example, a selfie or proof of address). These are not required to submit your application.
- Supporting details you provide during onboarding, such as your legal name, country, and payout information.
You should only upload documents that belong to you and that you are permitted to share.
2. Why We Collect It
- Fraud prevention — to confirm sellers are real, unique individuals and to deter stolen-account and impersonation schemes.
- Payout eligibility — to verify identity before funds can be released and to reduce payout fraud.
- Legal compliance — to meet identity-verification, anti-fraud, and other obligations that apply to the marketplace.
3. How It Is Stored & Who Can Access It
Identity documents (and any additional verification materials you submit) are treated as sensitive data and are handled with strict controls.
- Documents are stored only in a private, access-controlled storage location and are never exposed through public links.
- Access is restricted to authorized PlayerVault reviewers for the purposes described in this Notice.
- When a reviewer needs to view a document, it is accessed through short-lived, server-generated signed links rather than public URLs.
- We apply technical and organizational safeguards designed to protect this data against unauthorized access, loss, or misuse.
4. Retention
We keep your identity-verification documents only for as long as they are needed to verify your seller application, support payout eligibility, prevent, detect, and investigate fraud or disputes, and meet our legal, tax, and record-keeping obligations. Retention is tied to the life of your seller account and to any ongoing or reasonably anticipated dispute, investigation, or legal requirement, rather than a fixed countdown.
When identity documents are no longer needed for these purposes, we permanently delete the underlying identity images. We may keep limited verification audit metadata — such as the document type and the date and outcome of the review — as a redacted verification record, but not the images themselves. These limited records are retained for fraud prevention, dispute and chargeback handling, legal and regulatory obligations, and to evidence that identity verification took place.
You may request deletion of your identity documents by opening a request from our Support page. We will delete the underlying images unless we are required to retain them for one of the purposes described above; where retention is required, we keep only the limited redacted record and not the images.
5. Your Rights
Depending on your location, you may have rights regarding your personal data, such as the right to access, correct, or request deletion of it, and the right to withdraw consent.
- You can contact PlayerVault Support to make a request about your identity data.
- Withdrawing consent or requesting deletion may mean we can no longer verify you or allow you to sell or receive payouts.
- Some data may be retained where we are legally required to keep it.
6. Processing Consent
By accepting the identity-verification agreement during onboarding, you consent to PlayerVault collecting and processing your government-ID images, any additional verification materials you submit, and related details for the purposes described in this Notice. You confirm that the documents you submit are genuine and belong to you. You may withdraw consent at any time by contacting PlayerVault Support, recognizing that doing so may end your ability to sell on the Platform.
